During the course of our various programs and activities, Ilisaqsivik frequently gathers and uses personal information from donors, participants, clients, volunteers, and other people who are involved in our organization or interested in our work.

“Personal information” is any information that can be used to distinguish, identify or contact a specific individual. In the case of Ilisaqsivik’s work, this can include your name, address, email, phone number, birth date, gender, language preference, job title, business organization, and payment information.

In some cases, your computer’s IP address can be considered personal information, as it may give some indication of your geographic location.

We may ask you for personal information in a variety of ways, including website forms, surveys, mail-in forms, over the phone and in person.

There are a range of reasons why we may ask you for this information, including to:

• process a donation, registration, or other transaction with us
• sign you up to our newsletter
• let you know about upcoming events or programs
• recognize you in publications or annual reports
• respond to your inquiries about our work
• evaluate your satisfaction with our programs and services
• solicit financial support
• provide other information about the organization (including its programs and services) that might interest you

We may also contact you by mail, email or phone about your engagement and involvement with the organization, which could include sharing opportunities to donate in support of our work.

You may choose, at your discretion, to provide us with your personal information or elect to withhold information. In some cases, your personal information might be required to do something you have asked of us (register you for one of our programs, for instance).

Depending on the nature of the transaction or communication, we will generally collect your name, address (postal, building number and email), phone number and if regarding a donation or other financial transaction, your payment information. Ilisaqsivik may also collect demographic information such as your date of birth, gender and language preference for communication, fundraising and program development purposes.

Personal information collected will only be used by authorized Ilisaqsivik staff:

• to fulfill the purpose for which it was originally collected
• for specific purposes if directed by the individual from whom the personal information is being collected
• for a use consistent with the original purpose

For example, if you sign up for a fundraising initiative or campaign, we may email you about other opportunities to support our work with a donation. Or, if you make a donation and provide us with your mailing address, we may also send a newsletter to your home in order to keep you up-to-date with work you helped make happen.

Ilisaqsivik will not use your personal information to engage in automated decision-making or profiling.

By providing personal information to us, you are providing “deemed” consent to the collection, use and disclosure of your information in accordance with this policy under the Personal Data Protection and Electronic Documents Act (“PIPEDA”).

Please note that we may be unable to provide you with certain information or services if you do not give us specific personal information. For example, we are unable to send you email updates if you do not share your email address with us. We may also require your data to comply with a statutory obligation.

At any point in time you can opt out of receiving information from Ilisaqsivik.

Your personal information is not shared, sold, rented, traded, or otherwise disclosed to any outside third party except with your consent or where authorized and/or required by law.

Ilisaqsivik uses external services and suppliers like CanadaHelps, AirTable and MailChimp, to assist it with various functions, such as to process donations and send email updates and appeals.

Through agreements with these partners, and their commitment to protect your privacy, Ilisaqsivik manages and protects your information with the same level of care and sensitivity as it does its own information. A confidentiality clause that describes what type of information is being shared, for what purpose it is being shared, and how long it is to be retained, is incorporated into all contracts entered into with outside third parties. 

Personal information is retained by Ilisaqsivik only so long as required by law or for no longer than is reasonably necessary to fulfill the purpose(s) for which it has been collected. We will take into account any legal obligations we have (for example, to maintain our membership list ) and any other legal basis we may have for using your data (for example your consent or our legitimate interests as an organization).

Data provided through our websites and platforms is stored in Canada. We safeguard your information by using secure systems, such as CanadaHelps fundraising software.

Where we transfer your information, we will ensure appropriate safeguards and agreements are in place to make sure your personal information is not stored after use (for example, if we contract out to help with a mailing).

Ilisaqsivik is located in Canada and does not maintain servers located within the European Economic Area (“EEA”). Please be aware that any data you submit to us is being transferred and stored outside the EEA.

Cookies are small files that may be placed on your hard drive by a website, without your knowledge, in order to monitor your use of the site. Ilisaqsivik uses “persistent” and “session” cookies to monitor usage of its website. The cookies used do not allow Ilisaqsivik to identify individuals. The cookies are compiled into statistical information on traffic patterns and are used to assess and improve the efficiency of its website.

Session cookies are cookies that are used on some portions of Ilisaqsivik’s website to store information within a session. During your visit to Ilisaqsivik’s website, your browser exchanges information with Ilisaqsivik’s web server. Session cookies facilitate this exchange by reminding the server which computer is making the request. No personal information is kept in session cookies, and session cookies are only stored in your browser’s temporary (i.e., cache) memory. When you log out of your session, the session cookie is no longer valid; it is discarded when you close your browser.

Persistent cookies are more permanent cookies that can be reread when you return to the website. The information in them is written onto your hard drive and remains there until the expiry date of the cookie or until you delete the file. Persistent cookies are used for tracking traffic patterns to and from Ilisaqsivik’s website and are also used to find out how visitors access, navigate and use the website. Ilisaqsivik uses Google Analytics, a web analytics service provided by Google Inc. to help measure traffic patterns to, from, and within Ilisaqsivik’s website. This analytics measurement tool uses “session” and “persistent” cookies to collect standard Internet log information and to track visitor behaviour in an anonymous form. When your computer requests Ilisaqsivik website, the following types of information are collected and used for web analytics:

• the originating IP address
• the date and time of the request
• the type of browser used
• the page(s) visited
• referral website

The information generated by the cookies about your use of Ilisaqsivik’s website will be transmitted to Google. No personally identifying information is recorded or provided to Google.

If you wish, you may opt out of being tracked by Google Analytics by disabling or refusing the cookies, by disabling JavaScript within your browser, or by using the Google Analytics Opt-Out Browser Add-On. Disabling Google Analytics or JavaScript will still permit you to access comparable information or services from Ilisaqsivik’s website; however, you might have difficulties accessing any secure services. The information gathered by Google Analytics is then used to evaluate visitors’ use of the website and to compile statistical reports on website activity for Ilisaqsivik. The aggregate data and statistical reports are only used to help Ilisaqsivik make its website more useful to visitors and are only made available to web managers and other designated staff who require this information to perform their duties. Ilisaqsivik retains information collected for web analytics for a maximum period of twenty-six (26) months. The information is not disclosed to any external third-party service provider.

Data collected for Web analytics purposes may go outside of Canada to Google servers and may be processed in any country where Google operates servers. As such, data may be subject to the governing legislation of that country, For further information, consult Google Analytics’ Terms of Service.

Ilisaqsivik ensures that all electronic communications to you are communicated in compliance with Canada’s Anti-Spam Legislation (CASL).

Individuals in the European Union may view their rights over their personal information under the European Union’s General Data Protection Regulation, Chapter 3, “Rights of the data subject”.

If at any time you would like to access, correct or add to your personal information that Ilisaqsivik maintains, make a complaint regarding the management of your personal information, or be removed from any Ilisaqsivik mailing lists, we encourage you to contact the Privacy Officer at Ilisaqsivik who will address your concerns, complaints and questions. “Do Not Track” is a privacy preference that users can set in their web browsers.
